Booking Terms and Conditions

Reserve

Your contract is with IndiaExplorous Tours Private Limited , which comes into effect when we have confirmed your chosen tour and received your signed booking form and the corresponding deposits. Please ensure you complete each relevant section fully and accurately. To guarantee that you and other people on the tour accept our booking terms and conditions and are entering into the contract, we only consider the signed booking form valid.

Deposit

Upon completing the signed booking form, a deposit of 25% of the tour cost per person must be paid to the company. The remaining balance can be paid in cash in any form or by debit or credit card, whichever is more convenient.

Pay

You can make payments to IndiaExplorous Tours Private Limited by cash, check, bank draft, credit card, or electronic transfer. However, if you pay by credit card, there will be a 3% surcharge, which will be added to your invoice. We require a 50% prepayment for bookings made within 10 business days of the tour departure.

Balance

You will receive an invoice and a receipt for the amount already paid once you complete the booking form and make the deposit. The remaining balance is due 10 days before the tour departure . Any booking made within 14 business days of the tour departure will be considered a late booking, for which we require a 50% deposit . The remaining balance will be collected upon your arrival in India.

If you cancel your vacation

In any case, if you or any member of your group wishes to cancel your holiday, you are required to notify us in writing. The cancellation date will be the date the notification is received by the IndiaExplorous Tours Department . The cancellation letter must also be signed by the person who signed the booking form. As this incurs administrative costs and retention fees from the hotel, the following cancellation charges will apply:

  • More than 28 days: Deposit only
  • 27-14 days: 50% of the tour cost
  • 13-07 days: 75% of the tour cost
  • 6 days or less: 100% of the tour cost

However, if the tour is cancelled for medical reasons or some other condition with sufficient documented evidence, we can waive the cancellation fees or provide you with a later tour, which we will decide mutually.

If you change your reservation

If you wish to change your travel arrangements in any way (chosen departure date or accommodation) after your confirmation invoice has been issued, we will do our best to make these changes, but it may not always be possible.

Responsibility

There will be no liability on the part of the company, supplier or agents:

  • When there is no fault on the part of the company.
  • When the failures are due to unusual and unforeseeable circumstances beyond their control.
  • When the failures are attributable to a third party not related to the provision of the trip.
  • When the failures are attributable to the customer.
  • When the failures are due to an event that neither you nor your provider could have foreseen with due care.

To ensure the organization maintains standards and provides acceptable service to passengers, we take all reasonable measures. The information on this website has been compiled with due care and is correct to the best of our knowledge, published in good faith.

Complaints

In order to provide a pleasant and trouble-free holiday, we take every precaution, but occasionally plans may not work out. If you have any complaints, you can inform your tour manager at the time, who will do their best to resolve the situation immediately.
If the issue remains unresolved, please notify the company in writing within 28 days of the tour’s end. Failure to contact us within this timeframe will affect the investigation and outcome of your complaint.
Any disputes between clients and IndiaExplorous Tours Private Limited will be subject to the jurisdiction of India, specifically Delhi.

Important Note

Dispute Resolution
  • In case of disputes between clients and IndiaExplorous Tours Private Limited, the jurisdiction will be in Delhi.
  • Disputes will be resolved through arbitration.

Shipping Policy

IndiaExplorous is a tour operator company that sells travel packages, therefore no shipping policy applies.

Return policy

As we are a tour operator and sell travel packages, no refund policy applies. If you have any cancellation disputes, please refer to our cancellation and refund policy.

Passports and Visas

To travel to India from countries other than Nepal and Bhutan, you need a passport valid for at least six months and a valid visa. Passport and visa processing fees are not included in the tour price. For information regarding e-visas and passports, please see our e-visa section.

Health

Anyone with a contagious disease is prohibited from traveling. If someone is found to have such a disease during the tour, they will be required to leave the trip and make their own arrangements to return home.

Early check-in / Late check-out

In most good hotels, the standard check-in/check-out time is 12:00 PM (IST) . Early check-in or late check-out fees are not included in the tour price. We can request these fees if needed, but we cannot guarantee them, as they depend on hotel policy, season, and availability.

Additional use of our vehicle

The cost of the vehicle (cars/buses with driver) for uses outside of scheduled transfers or visits is not included in the tour cost, unless specified in the itinerary.

Right to modify the itinerary if necessary

Once started, the tour will strictly follow the finalized itinerary. Should circumstances arise beyond our control, we reserve the right to modify the itinerary, in whole or in part, to ensure the safety and well-being of our passengers.

Surcharges

In the event of a sudden increase in fuel prices, airfares, or other government taxes, the price of your trip will be subject to surcharges. We will attempt to absorb up to 2% , but any increase exceeding 2% will be charged to the customer.

Our Responsibility

IndiaExplorous Tours Private Limited accepts responsibility for any holiday arrangements that are entirely within our control and, therefore, accepts liability to clients for the negligence of our agents, including our employees. However, we would like to draw your attention to the following circumstances, which are outside our direct control or for which, for some reason, we are not prepared to accept liability.

The Company shall not in any event be liable to the customer or any person traveling with him or her for: any death, personal injury, illness, accidents, consequential loss and/or damage, delay, inconvenience, additional expenses or theft caused in any way.

Any act, omission, breach by any independent contractor or other person or by any servant or agent employed by them that may be involved or related to the provision of food, accommodation, transportation or service to the client or to any person traveling with him, caused in any way.

IndiaExplorous Tours Private Limited cannot assume responsibility for business arrangements outside our control, such as civil strikes, natural disasters, threat or war, labor disputes, riots, terrorist activities, technical problems in transportation, extreme weather conditions, closure of airports and seaports and similar events beyond our control, or due to unusual and unforeseeable circumstances beyond our control.
